Yealm Estuary to Moor (YEM) Policy Statement regarding Personal Data Confidentiality

YEM is a not-for-profit, long-term, community project to create wildlife corridors within the catchment of the river Yealm, improving both the health of the River Yealm and encouraging biodiversity along its length. The project is directed and delivered by a Steering Group (SG) who are volunteers, supported by professional environmental organisations and a wider but relatively small group of volunteers.

The YEM SG aims to ensure the security and protection of personal information under the UK General Data Protection Regulation (UK-GDPR). Our commitment is provided in this policy which will be subject to annual review and approval by the Steering Group as both a reminder of the obligations contained in this policy and to ensure consistent working practices.

All SG members have a duty to ensure that communication, behaviour and interaction is appropriate and professional, including adhering to the practices outlined in this policy.

YEM Privacy Practices

This policy statement reflects the practices put in place regarding the information on, and communication with, volunteers and professional partners engaged with the YEM project. We wish to protect any data we retain via email, telephone, social media or volunteer sign up sheets and the practices are intended to be proportionate to the nature of the personal data being held by YEM.

Contact details will only be obtained

Contact details will be held by the relevant co-ordinating members of the YEM SG (usually by area, project or event) within an email contacts list or other suitable list (eg Mailchimp) in a password protected electronic device (phone, i-pad, laptop, desktop computer). Members leaving the YEM SG will delete any contact details they hold on behalf of YEM. Such contact details may be given or sent to any subsequent SG member managing their project or area of work.

Data will only be used for the purpose(s) that consent was given.

Lists of YEM volunteers will not be provided to third parties. An individual’s contact details will only be provided to a legitimate third party with that individual’s express consent.

Contact details will only be held for the period of the YEM project. Personal contact details will be deleted if no longer relevant or if the individual wishes to be removed from our contact list. Volunteers can withdraw their consent for us to contact them at any time via the YEM email address (info@yemcorridor.com).
